ClickUp’s pitch is that it replaces your other tools. It genuinely can replace several \u2014 and the same quality that makes that possible is why a meaningful number of teams abandon it in month two.<\/p>\n

ClickUp shows you everything it can do, immediately. Coming from Trello or Asana, that is not a feature list, it is a wall. Whether ClickUp works for you depends almost entirely on whether someone is willing to switch most of it off before the team sees it.<\/p>\n

This review is based on ClickUp’s documented capabilities rather than independent testing.<\/p>\n

The Hierarchy<\/h2>\n

Two levels more than most competitors. That depth is why ClickUp scales to complex organisations and why small teams create twenty Spaces and lose track of everything.<\/p>\n

The practical rule: Spaces are departments, Folders are programmes or clients, Lists are queues. Resist creating a Space per project.<\/p>\n

What It Does Well<\/h2>\n

Features per pound<\/h3>\n

The genuine argument. Dependencies, sprints, time tracking, goals, docs, whiteboards, forms, custom fields, automations and mind maps \u2014 included at price points where competitors charge extra or omit them entirely.<\/p>\n

For a small team that needs several of these, the value case is strong and not really disputed.<\/p>\n

Views<\/h3>\n

List, board, calendar, Gantt, timeline, table, workload, mind map, activity, and more. Each configurable per List, per person, with saved filters.<\/p>\n

Custom fields and statuses<\/h3>\n

Status workflows are defined per Space or per List, so your content pipeline can have different statuses from your bug queue. Custom fields cover most types you would want.<\/p>\n

ClickUp Docs<\/h3>\n

Documents that live alongside tasks and can reference them. Not as pleasant to write in as Notion, and genuinely useful for specs attached to the work they describe.<\/p>\n

Automations<\/h3>\n

A capable automation builder \u2014 triggers, conditions and actions covering most routine handoffs, without needing a third-party tool.<\/p>\n

Time tracking built in<\/h3>\n

Native, with estimates and reporting. Competitors typically require an integration.<\/p>\n

Where It Struggles<\/h2>\n

The default experience<\/h3>\n

The central problem. Every ClickApp is enabled by default, so a new user sees priorities, time estimates, sprint points, dependencies, custom fields, multiple views and more before they have created a single task.<\/p>\n

Teams that succeed with ClickUp switch most of this off in Space settings and add features back when someone asks. Teams that fail never do, and conclude the tool is chaotic.<\/p>\n

This is fixable in twenty minutes and almost nobody does it.<\/p>\n

Performance<\/h3>\n

ClickUp has historically been criticised for speed, particularly on large workspaces with many custom fields and automations. It has improved substantially, and it remains heavier than lean competitors like Linear.<\/p>\n

Test with a realistic amount of data rather than an empty workspace.<\/p>\n

Reliability perception<\/h3>\n

ClickUp ships features quickly, which has meant occasional rough edges on new functionality. Check the status page history if uptime is critical to you, and be cautious about depending on very recently released features.<\/p>\n

It is not a wiki<\/h3>\n

Docs are adequate. If your team’s primary output is written thinking, Notion is meaningfully better and documentation people dislike writing goes stale.<\/p>\n

Export is limited<\/h3>\n

Getting data out is less straightforward than in some competitors. Check what export looks like before you build your entire operation inside it.<\/p>\n

Pricing<\/h2>\n

Free, unlimited, business and enterprise tiers, priced per user per month with annual cheaper than monthly.<\/p>\n

Three structural points:<\/p>\n

The free tier is genuinely usable<\/strong>, unusually so \u2014 unlimited tasks and members, with limits on certain features and usage counts rather than a hard wall.<\/p>\n

AI is a separate per-user add-on.<\/strong> ClickUp Brain is charged on top of your plan, per user. Include it in your maths if you intend to use it.<\/p>\n

Feature gating is by usage count as well as tier.<\/strong> Several features are available on lower tiers but capped \u2014 a number of uses of a view type, a number of automations per month. Check the caps against your intended use, not just the feature list.<\/p>\n

Verify current pricing and caps directly; ClickUp has restructured tiers more than once.<\/p>\n

Who It Suits<\/h2>\n

Small teams needing several tools’ worth of capability<\/strong> on one budget. This is the strongest case.<\/p>\n

Teams with someone willing to configure it.<\/strong> ClickUp rewards a person who owns the setup and punishes teams without one.<\/p>\n

Agencies<\/strong> tracking time, tasks and clients together.<\/p>\n

Teams that outgrew Trello<\/strong> but find Asana’s constraints or pricing unappealing.<\/p>\n

Who Should Look Elsewhere<\/h2>\n

Teams wanting something that just works.<\/strong> Asana or Trello. ClickUp requires setup to be pleasant.<\/p>\n

Software teams running sprints seriously.<\/strong> Linear or Jira are faster and purpose-built.<\/p>\n

Teams whose work is documents.<\/strong> Notion.<\/p>\n

Anyone who will not switch features off.<\/strong> Genuinely \u2014 if nobody will spend twenty minutes in Space settings, choose a simpler tool.<\/p>\n
